Work Model: This is office based job in our location in Szczecin (ul. 1 Maja 39, Baltic Business Park). 

You need to uphold working permit in the location mentioned above. 

The role: The Project Coordinator supports departmental organization and administration by assisting Project Managers, coordinating training and travel logistics, managing GDPR-compliant documentation, and optimizing budgets to ensure cost efficiency and operational effectiveness in line with MWS values. 

 

Your responsibilities: 

  • Support the Project Manager with daily tasks and responsibilities.
  • Coordinate and oversee training sessions, travel arrangements, and accommodation logistics.
  • Manage internal documentation, certificates, and sensitive data.
  • Ensure administrative processes comply with GDPR regulations.
  • Provide regular updates to Project Managers.
  • Maintain effective communication with Project Managers, Site Managers, and Business Unit Managers to align expectations
  • Monitor and track project expenses to ensure financial efficiency, including managing bookings for flights, hotels, and car hire.
  • Prepare and deliver cost reports to Project Managers, providing regular updates on project-related spending.
  • Negotiate minor vendor contracts, such as hotel and travel arrangements, to secure competitive rates and optimize project budgets.

 

Our requirements: 

  • Very good command of English (written, spoken, and comprehension) to engage with diverse teams and stakeholders.
  • Availability for full time office work form our office in Szczecin
  • Solid organizational abilities to help coordinate resources, schedules, and project tasks.
  • Clear written and verbal communication skills to support effective collaboration with team  members and stakeholders.
  • Experience with administrative duties, contributing to well-maintained documentation and reporting.
  • Comfortable handling multiple tasks and addressing issues as they arise in a dynamic work environment.
  • Familiarity with health and safety guidelines to help maintain a safe and compliant workplace.
