Job Description

This role provides essential support to the Legal Department across corporate governance, document and contract management and general legal operations.

The position ensures smooth day-to-day operations while contributing to process efficiency and governance standards.

YOUR RESPONSIBILITIES:

Corporate Housekeeping & Governance:

• Maintain and update org charts (using Lucid)
• Update and track entity list containing all relevant information (directors, registration numbers, addresses, etc.)
• Support preparation of board & supervisory board resolutions
• Assist with Annual Report preparation (e.g., prepare and procure Legal Counsel Confirmations)

Document & Contract Management:

• Administrate NDA Helpdesk
• DocuSign (Training, point of contact for all user questions)
• Rename and managing filing of legal documents
• Contract Management Support (using Luminance: upload, tagging, grouping of contracts)
• Monitor and manage access rights to tools (DocuSign, Luminance, Litera)

Legal Support:

• Manage and distribute invoices from external law firms via Approvals (Teams)
• Train and support users for Luminance AI repository
• Prepare and update training materials (e.g. DocuSign, Luminance)
• Contribute to onboarding program for new joiners (onboarding presentation, naming convention)
• Document and optimize processes in the Legal Handbook
• Update Legal intranet page with relevant content (ensure links are all working)
• Track and respond to requests in Legal inbox
• Manage bea Accounts of German team members
• Support knowledge sharing during meetings (e.g. Legal Touchpoints)
• Travel Expense Compensation (Rydoo)
• Provide cross-functional project support
• Manage physical filing in Frankfurt Office
• Maintain List & Contact Details of External Legal Counsel
• Assist with compliance and regulatory tasks when needed

YOUR QUALIFICATIONS:

• 2–4 years of experience in legal operations, corporate governance, or legal administrative support.
• Experience with legal tools such as DocuSign, Luminance, Lucid, Litera, and Rydoo is highly desirable.
• Familiarity with corporate governance processes, including maintaining entity records and preparing board documentation.
• Previous experience managing document repositories and contract management systems.
• Strong organizational skills with experience supporting cross-functional and compliance-related projects.
• Comfortable working in a fast-paced, international, and cross-functional environment.
